Registration and Badges

During the WTS Annual Conference, your badge must always be visible. Spouses, friends, peers, etc. are not granted access to any conference areas or events without a badge. If you wish for anyone to accompany you to any of the conference events, you must register them and pay the appropriate fees.  See Childcare and Teenager Participation for minor participation.

Conference Registration Cancellation

All cancellations must be in writing and emailed to [email protected]. Registration cancellation fees submitted by close of business on May 3, 2024 will be fully refunded, minus a 25% cancellation fee. 

Refund requests for Annual Conference registration will be processed 7-10 days post Conference closing. Registrant no-shows will not be refunded. If WTS International cancels the 2024 Annual Conference for any reason, all registrants will be notified by email to the address used in their original registration.

Conference Health and Safety

The health and safety of all WTS members and event participants remains our top priority. We will continue to follow guidance of the Centers for Disease Control (CDC) as well as state and local requirements to meet safely.

At this time, WTS International will not require proof of COVID-19 vaccination status or a negative test result to be presented at our 2024 Annual Conference. Mask-wearing is encouraged, but will be optional.

As information pertaining to COVID-19 requirements is ever-evolving, this policy is subject to change at any time. WTS International cannot guarantee that vaccination or masking requirements will not be different or subject to enforcement by the start of the event.

Childcare & Youth Participation

As an association that promotes equity and access in transportation, WTS International is proud to support working parents who attend our events. We also welcome teenagers who are exploring careers in the transportation industry. We have developed these guidelines to ensure that all of our attendees are able to enjoy the various experiences offered at our events.

Teenager/Youth: Teenagers between the ages of 13 to 17 may attend educational sessions and the exhibit hall under adult supervision. Teen guests will not be charged admission to the event. Any teen guest whose behavior is disruptive will be removed from the event. Anyone 18 and older is an adult and must have a paid registration to attend the event- student registration rates are available. Teen guests are NOT permitted to attend any reception where alcohol is being served (Welcome Reception, Blue Ribbon Reception, WTS Foundation Gala, or Closing Reception) and are not permitted to attend Add-ons (i.e. Tours and Professional Development Workshops).

Childcare: Childcare will be provided for children between the ages of 6 months and 12 years at a subsidized rate, and at the parent’s expense. Please visit the WTS Annual Conference childcare webpage for more details on daycare hours, logistics, and rates. Please note, separate registration through the childcare provider is required, as well as pre-payment to utilize daycare services on site.  

Conference and Event Anti-Harassment Policy

Attendees, staff, sponsors, and exhibitors at the WTS International Annual Conference shall together provide a harassment-free experience for everyone, regardless of gender, sexual orientation, disability, physical appearance, body size, race, age, or religion.  We do not tolerate harassment of conference participants in any form.

Conference participants who violate these rules may be sanctioned or expelled from the conference without a refund at the discretion of the conference organizers. Harassment includes offensive verbal comments related to gender, sexual orientation, disability, physical appearance, body size, race, age, or religion, and actions such as deliberate intimidation, stalking, following, harassing photography or recording, sustained disruption of talks or other events, inappropriate physical contact, and unwelcome sexual attention.

Photography

WTS International will be video recording and taking photographs during various portions of the 2024 Annual Conference. By entering the venue, you are giving permission to be filmed and photographed and for the film and/or photographs to be used by WTS International in all manner of media throughout the world; you also waive all rights with respect to and release WTS International from any claims related to WTS International’s use of your name, image, likeness, voice, or quotes.
